ABOUT THE JOB:
As Office & Fleet Administrator, you will join a growing organization where a warm and family-like team atmosphere is highly valued. You will work from our HQ in Vilvoorde and be part of the Internal Operations Team (5 people), closely collaborating with the Internal Operations Chief, Finance & Fleet Coordinator, HR Manager, and Recruitment Team.
Your responsibilities are diverse and include:
- You are the first point of contact for internal and external stakeholders.
- You handle communications in a professional and friendly manner – by mail, email, phone, or social media.
- You welcome colleagues, visitors, and clients with a warm and professional approach.
- You support colleagues across different departments, including HR, IT, ERP, and Fleet.
- You manage and oversee the office infrastructure and make sure your colleagues have everything they need.
- You manage supplier contacts and handle orders for office, IT, and safety supplies – always keeping stock levels in check.
- You ensure that offices and meeting rooms are tidy and well-prepared.
- You organize internal events, team meetings, and training sessions.
- You help coordinate business trips and related logistics.
- HR: You manage HR administration, support onboarding for new hires, and coordinate the collection and delivery of company cars in collaboration with HR Fleet.
- Marketing: You assist with the development of marketing materials (merchandise) and help maintain the company’s social media and website.

As part of the Internal Operations Team, you also contribute to team continuity by providing backup support for your colleagues when needed.
WHAT WE NEED:
- You hold a bachelor’s degree in Office Management or a related field and have at least some relevant work experience.
- You are a team player with a proactive and hands-on attitude.
- Planning and organizing are among your core strengths.
- You work accurately, are structured, and pay attention to detail.
- You are reliable, discreet, and take ownership of your responsibilities.
- You are sociable, helpful, and customer-oriented.
- You are proficient with Microsoft Office tools (Word, Excel, Outlook...).
- You are fluent in Dutch and English; French is a strong plus.
