Role Overview:
As the Office Manager, you will be the backbone of our office in Łódź, overseeing administration and creating an organized, efficient, and productive working environment. You will manage office procedures, support the executive team, and coordinate with internal and external stakeholders to ensure smooth operational excellence. Your organizational skills, attention to detail, and ability to manage multiple responsibilities will be essential for the success of our fast-paced office.
Key Responsibilities:
- Manage the day-to-day operations of the office, ensuring it runs smoothly and efficiently.
- Provide administrative support to the Operational Manager and project consultants.
- Handle office supplies, equipment, and services, ensuring the office is stocked and well-maintained.
- Organize meetings, appointments, and travel arrangements for staff and clients.
- Maintain accurate records, including confidential and sensitive documents.
- Act as the point of contact for internal and external communications, including phone calls, emails, and visitors.
- Assist with HR-related tasks, such as screening of new talent, onboarding new employees, managing employee records, and coordinating staff training.
- Manage the office budget, track expenses, and process invoices and payments.
- Coordinate with IT and other departments to ensure office technology is functioning properly.
- Plan and coordinate company events, meetings, and conferences.
- Ensure compliance with health and safety regulations within the office.
Qualifications:
- Bachelor’s degree in Business Administration, or a related field and/or experience as an Office Manager, Administrative Assistant, or similar role.
- Strong organizational and multitasking skills, with an ability to prioritize tasks effectively.
- Excellent verbal and written communication skills in both Polish and English.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
- Ability to work independently and as part of a team in a fast-paced environment.
- Strong problem-solving skills and attention to detail.
- Basic knowledge of HR and finance processes is a plus.
- A proactive, can-do attitude and the ability to take initiative and ownership.
